Your Google or Outlook calendar and your practice diary, in step

Practitioners rarely live in one calendar. Connect the Google or Outlook calendar you already use and My-Therapy-Suite keeps both sides current: personal commitments block bookable time in your practice diary, and new bookings land in the calendar on your phone. Each team member connects their own account, syncs only their own work, and chooses exactly how much detail leaves the practice.

Double-bookings surface before they happen

A dentist appointment in your personal calendar shows up as busy time in your practice diary, and a new client booking appears in the calendar you check on your phone. Whichever calendar you happen to be looking at, it shows the same picture.

Client details stay private

Choose "Show only availability" and events pushed to your external calendar carry a placeholder title instead of who the session is with, or "Show attendee initials only" to keep track of who each slot is with while their name stays off the calendar. Your clients are never emailed by Google or Outlook either: the synced event carries no invitations, and every client email still comes from the practice.

Built for group practices

The connection is personal, not practice-wide. Every team member connects their own account without needing an administrator, receives only their own appointments, and two colleagues can both use Google with completely independent settings.

STEP 01

Connect your own calendar in minutes

From Settings you pick Google or Outlook, grant access on the provider's own consent screen, and choose which of your calendars to use. No admin involvement and no shared practice account: the connection belongs to you.

Then decide how it behaves: sync both ways or one way only, sync every appointment or just client bookings or tagged events, show full details or only busy time, and how far back to reach, from future-only up to a year of history.

One connection per provider per person. Colleagues connect their own calendars, each with its own settings.

STEP 02

Kept current in near real time

After the first backfill, changes flow as they happen. Edit an event in Google or Outlook and the busy time in your practice diary follows; book, move or cancel an appointment in My-Therapy-Suite and your external calendar is updated.

What flows out is only ever your own work. Appointments assigned to you reach your calendar; a colleague's client work never does. Events pulled in from your calendar become appointments assigned to you, marked as coming from the external calendar.

If an appointment is reassigned to a colleague, it moves calendars too: added to theirs, removed from yours.

STEP 03

Recovers on its own when access lapses

Calendar providers occasionally revoke access, and people change passwords. When that happens, syncing pauses and you get a notification asking you to reconnect. It goes to you, not your practice admins, because the connection is yours.

Reconnecting is one click through the same consent screen, and the backlog catches up automatically: anything that changed while the connection was down is pushed and pulled without you re-entering any settings. Disconnecting is equally clean, and you choose whether appointments that came from that calendar are removed or kept as ordinary appointments.

Google Meet and Microsoft Teams video links are created on your own connected calendar, so the booking form only offers them when the assigned practitioner has that provider connected.

Does My-Therapy-Suite sync with Google Calendar and Outlook?

Yes, both. Each team member connects their own Google or Outlook account, chooses which calendar to use, and picks the direction: two-way, one way into the practice, or one way out.

Will my clients get invitations from Google or Outlook?

No. The event created on your external calendar carries no attendee list, so the provider emails nobody. Booking confirmations, reminders and other client emails all come from the practice as usual.

Can I hide what my appointments are about?

Yes. Set visibility to "Show only availability" and your external calendar shows the time as busy with a placeholder title. The slot is blocked without exposing who the session is with or what it concerns.

There is a middle option too. "Show attendee initials only" titles the event with the initials of whoever is attending, so you can tell your appointments apart at a glance without their names appearing on the calendar.

How far back can I sync my history?

Pick one of the set periods, choose a date to sync from, or take everything up to five years back. Whatever you choose, your calendar is kept in step from that point up to twelve months ahead.

Bringing across a lot of history runs in the background and can take a while. Your calendar stays usable while it works through, older appointments keep appearing as they arrive, and you are notified once it has finished.

What happens if I disconnect?

Syncing stops for your connection only, and you choose what happens to the appointments that came in from that calendar: delete them, or keep them as ordinary practice appointments. Events already on your external calendar are left in place rather than deleted from your personal account.
